Position Details
The University Controller works closely with the Chancellor, executive leadership, and other campus leaders to promote the mission of the University. The University Controller’s specific duties include budget development, financial and statistical reporting, chart of accounts and fixed asset management, Banner security, purchase order and payment authorizations, fiscal year-end processing, debt and investment portfolio management, grant accounting and the University and State accounting entries and reconciliations.
The Controller assures the University’s understanding of, and compliance with, external requirements including but not limited to: financial reporting and government accounting standards; state and federal tax laws; federal cost accounting standards and allowability of costs; federal and state requirements surrounding truth in lending and information security and compliance with banking and credit card standards.

Salary $65,000 to $75,000
The University Controller works closely with the Chancellor, executive leadership, and other campus leaders to promote the mission of the University. The University Controller’s specific duties include budget development, financial and statistical reporting, chart of accounts and fixed asset management, Banner security, purchase order and payment authorizations, fiscal year-end processing, debt and investment portfolio management, grant accounting and the University and State accounting entries and reconciliations.

The Business Office strives to partner with Academics, Administration, Athletics, Enrollment Management, and Student Affairs to enable MSU-Northern to achieve the goals specified in its mission statement. The Business Office is accountable for overseeing all financial activity of the University. We will strive to provide the highest quality of service to our students, the University community, prospective students, and vendors.
Duties and Responsibilities
1. Oversight of grant accounting and compliance.
2. Lead the campus budget development process and provide reporting and analysis.
3. Approve internal campus purchase orders and payment authorizations.
4. Perform general ledger review and reconciliation for all University accounts utilizing knowledge of the state system (SABHRS). This includes reconciling SABHRS to Banner, and researching and correcting discrepancies.
5. Make accounting entries in SABHRS and Banner. Ensure all appropriations are requested and recorded. Transfer funds in and out as needed. Sign local revolving checks as needed.
6. Manage debt for the University, including bonds, Intercap loans, and notes payable. Ensure principle and interest payments are made correctly and recorded in the University’s accounting records appropriately.
7. Monitor cash and manage the Short-Term Investment Pool to the best advantage of the campus.
8. Maintain the Chart of Accounts for the University, establish new FOAP codes and ensure that fund/account combinations are appropriate.
9. Oversight for University fixed asset accounting, reporting and disposal programs.
10. Ensure fiscal year-end closing entries are done in accordance with State requirements.
11. Provide training to campus on use of Banner Finance and AR modules. Also monitor security in these modules to ensure access is appropriate and current.
12. Prepare financial and statistical reports on behalf of the University, including but not limited to CHEs, IPEDS, UBI, Moody’s, Athletic Report, Bond reports & surveys.
13. Assists Leadership in strategic planning and accreditation reporting, planning and creation.
14. Represent the campus in Banner Finance team meetings, monitor budgets regularly to ensure compliance by campus departments. Prepare and enter budget adjustment entries.
15. Assist Bozeman personnel with Financial Statements and footnotes.
16. Position may supervise employees.
17. Other duties as assigned in support of MSU-Northern’s mission.
Required Qualifications – Experience, Education, Knowledge & Skills
- Bachelor’s degree in Accounting, Business, Finance, or related fields.
- Significant leadership experience successfully managing and analyzing the accounting and financial transactions of a large and complex organization. Demonstrated competence maintaining, processing, and verifying detailed information with a high degree of accuracy and close attention to detail.
Preferred Qualifications – Experience, Education, Knowledge & Skills
- CPA or CPA candidate
- Master’s Degree in Accounting or related field
- Significant accounting or financial experience in government, university or non-profit setting.
- Knowledge of State and Federal regulations regarding University finance.
- Knowledge of Banner and SABHRS administrative software.
- Experience developing budgets in a complex organization.
- Experience participating in strategic planning and implementation.
