Job Description:
This position requires leadership, organization, and coordination in support of the American Institute for Manufacturing Integrate Photonics (AIM Photonics).
The Program Support Coordinator for AIM Photonics supports the Executive Director and Deputy Executive Director of AIM Photonics to assure smooth operation of AIM Photonics' administrative and organizational matters; including coordinating and supporting the activities of the Institute.
The role of Program Support Coordinator includes the following duties:
- Coordinating the Institute's executive staff and underlying personnel in the administrative system that guides day-to-day operations;
- Supporting the development and maintenance of processes, procedures, and communications that enable AIM Photonics to fulfill its mission and goals;
- Facilitating communications with and meetings of the AIM Photonics Leadership Council;
- Acting as a liaison on behalf of the Institute with its internal and external stakeholders, including government sponsors, members, potential members, and partners, as well as State and local officials, executives and staff members of NY CREATES, SUNY Polytechnic Institute, The Research Foundation for SUNY, New York State Empire State Development, and the public;
- Coordinating and supporting the external presence of AIM Photonics via weekly, monthly, and quarterly reports, newsletter generation, conference coordination, and other outreach, as required;
- Driving an infrastructure that assures the retention of records essential to the functioning of AIM Photonics, such as member contacts, Conflict of Interest forms, Non-Disclosure Agreements, patents, conference presentations, and publications;
- Coordinating visits, tours, and webinars for stakeholders, potential partners, and others;
- Meeting planning and facilitation, travel planning and facilitation, presentation preparation, communications with Institute members, potential members, and representatives of the Department of Defense and other government agencies, and review and editing of critical documents;
- Assisting the Executive Director and Deputy Director in assuring compliance against the terms, deliverables, and milestones outlined in the AIM Photonics Cooperative Agreement with the Air Force Research Laboratory;
- Any other tasks required by Executive Director and Deputy Director.
- The incumbent will become familiar with the templates for the AIM Photonics Membership Agreement, non-disclosure agreements, sponsored research agreements, license agreements, and visiting scientist agreements.
Requirements:
Minimum Requirements for Program Support Coordinator
- Bachelor's degree in the area of business, management, marketing, economics or computer science, engineering, or a related field
OR
- Equivalent relevant professional experience.
- The incumbent must have experience in project management best practices and standards, working with stakeholders and collaborating in a cross-functional team environment.
- Additionally, the Program Support Coordinator must possess the ability to interface with customers and internal partners at various levels within an organization;
- Work independently
- Prioritize demands in a fast paced environment
- Have strong organization and communication stills; and have experience with Microsoft Office, Project, Outlook, or equivalent software.
- This position is contingent on the satisfactory completion of a background investigation; this position may be subject to annual background investigations. Candidates must address in their applications their ability to work with culturally diverse populations.
Preferred Qualifications:
- Ten years of professionally responsible work experience in a similar position
- Project Management Professional certification from the Project Management Institute
- Master of Business Administration
