POSITION DESCRIPTION
FLSA STATUS: Non-Exempt
JOB TITLE: Weatherization Intake Specialist
DEPARTMENT: Weatherization
OVERALL PURPOSE
This position is responsible for assisting with the office responsibilities and procedures to ensure effective delivery of Weatherization program services.
ESSENTIAL FUNCTIONS
1. Implement client eligibility and delivery of service procedures
PERFORMANCE MEASURES:
• Complete intake procedures which determine eligibility and ensure efficiency and accuracy
• Make appropriate referrals for other agency or community services
• Maintain detailed case management notes of activities for each customer
• Enter daily client case notes
• Provide clients with guidance on utility conservation, etc
2. Perform office clerical duties
PERFORMANCE MEASURES:
• Maintain organized and accurate files and information
• Maintain databases to track information and data
• Complete documentation, job/case notes, and other required records
• Act as a liaison between auditor/energy educators, client, funding sources and contractors
• Assist with scheduling appointments, make referrals, etc
• Assist coordinator and director in departmental monitoring activities to evaluate the quality of work performed
• Assist coordinator to maintain necessary schedules for weatherization staff trainings for certification and re-certification
3. Assist coordinator to analyze program expenditures
PERFORMANCE MEASURES:
• Maintain spreadsheets to ensure budgeted amounts are not exceeded
• Maintain spreadsheets to match work orders and coordinate with fiscal to ensure proper amounts are paid
• Maintain spreadsheets for vehicle mileage and fuel receipts
• Review invoices and break out cost to allocate to; materials, labor, or to health & safety
• Ensure accurate allocation of services to correct funding
4. Network with local agencies to maintain an understanding of available services and market Agency services.
• Stay abreast of our agency and other local agencies services
• Refer clients where assistance can be beneficial to their household needs to gain self-sufficiency
• Ensure effective delivery of customer service by providing clients with direct services or other information
5. Attend required meetings and trainings.
PERFORMANCE MEASURES:
• Attend meetings as required
• Be prepared and participate
OTHER DUTIES
1. Perform other related duties as required.
2. Secure office at the end of the day
SUPERVISION RECEIVED
Supervision is received from the Weatherization Program Director.
QUALIFICATIONS
EDUCATION
• High School Diploma required
• Associate Degree in human services or related field preferred
EXPERIENCE AND/OR TRAINING
• Five years experience preferred
KNOWLEDGE, SKILLS, AND ABILITIES
• High level of record keeping/routine paperwork
• Organization to manage multiple projects/tasks
• Meet frequent deadlines
• Provide close attention to detail
• Identify problems, investigate the root-cause, and make recommendations for solutions.
• High level of written and math skills to prepare business documents, client case notes, technical reports, manuals, articles, financial reports, etc.
• Database/Contact Management Software
• Internet/E-mail and windows applications
• Follow established confidentiality policy, safety standards, or applicable regulations
• Knowledge of customer service best practices
• Effectively communicate while remaining professional
